Terms and Conditions
By registering for the conference, you agree to the terms and conditions outlined below:
These terms and conditions are governed by the laws of Queensland, Australia. We receive payments from our accommodation suppliers for the provision of our booking service. All references to “we”, “our” and “us” are references to QUT Conferences.
All costs reflected on our website and registration sites are in Australian dollars (AUD) and inclusive of goods and services tax (GST). Please note that all deadlines reflected below are in Australian Eastern Standard Time (AEST).
The conference organisers reserve the right to change information on the conference website and associated event software without notice to you. This may include changes to the draft conference program.
By registering for the conference, you agree to be included in the official delegate list, which may be supplied to delegates, sponsors and exhibitors. Your name, position, organisation, state/country and email address may be included in this list.
If you do not consent to being included in the delegate list, please contact the Conference Manager via email at email@example.com.
The STEM in Education 2018 Conference reserve the right to deny entry to or remove persons from the STEM in Education Conference at the Conference Organisers discretion. It is your responsibility to read the Visitor information summary available here prior to arriving at the conference.
It may note be possible to cater for special or dietary requirements unless they are requested by Friday 9th November 2018. Requirements may be requested either during the registration process or in writing via email at firstname.lastname@example.org. STEM in Education Conference Organisers will do their best to cater for all requirements, however cannot guarantee this will be possible.
Photography and Filming
Photographs and videos of you may be taken during your participation in the conference. By participating in the conference, you consent to the Queensland University of Technology and Conference Organisers using these photographs/videos for promotional, news, multimedia, research or educational purposes.
If you do not consent to your image being used, please contact the Conference Manager via email at email@example.com.
Presenters are required to register for the conference by Tuesday, 17 July 2018. Failure to do so may result in your removal from the conference program. All presenters are required to read the QUT Health, Safety and Environment (HSE) Visitor Information Document prior to arriving onsite.
Conference organisers reserve the right to make changes to the draft program without notice. It is your responsibility check your presentation time. Once the final program has been published you will be notified should any changes be made to your presentation time.
Registration payments are required at the time of booking. Payment is accepted via Visa or Mastercard. If you require other payment terms please contact us directly at firstname.lastname@example.org.
Note: Your registration is at risk of being cancelled until payment is confirmed. QUT has a 14 day payment term for issued invoices.
Conference Refund Policy
Registration cancellations will not be accepted unless made in writing to the Event Manager, by emailing email@example.com.
Cancellations received up until Friday, 2 November 2018, will be refunded less 25% for administration fees (please note if you have not paid you will still be invoiced for this amount). No registration refunds will be made after this date. Full cancellation fees will also apply to non-paid accounts after this date.
As an alternative to cancellation, your registration may be transferred to another person in your organisation, if advised in writing no later than 48 hours prior to the commencement of the Conference.
Accommodation Refund Policy
Accommodation cancellations will not be accepted unless made in writing to the Event Manager, by emailing firstname.lastname@example.org.
Amendments or cancellations will not be accepted after cancellation dates listed by the hotels.
Without affecting any of your statutory consumer rights that cannot be lawfully excluded or limited: a) we will not be liable for any losses, damages, liability, claims or expenses (howsoever caused, including negligence, and whether direct, indirect or consequential) arising from the use of or connected with our site or any products or services purchased on our site, and b) we make no warranty or representation as to the fitness or suitability of any product or service displayed on our site or any linked site. Where our liability cannot be excluded, to the extent permitted by law such liability is limited to the value of the booking made. We sell accommodation from inventory supplied by each accommodation provider and we do not over-sell that inventory (we cannot accept liability for unavailability of rooms caused by an accommodation provider over-selling its own inventory).
In order to fulfil its activities, QUT Conferences collect and hold personal information about delegates registering or expressing interest in our events. QUT Conferences is committed to protecting the privacy of this personal information, and ensuring that it is properly secured and managed in accordance with the requirements of the Queensland Government’s Information Privacy Act 2009.
- The requirements of the Information Privacy Act are detailed in QUT’s privacy obligations.
- The Privacy Officer conducts a number of privacy training sessions each year for staff members.
- The University has a mechanism for dealing with privacy complaints.
- QUT has developed privacy protocols for the management of particular privacy issues that arise in the University.
Your information will only be provided back to the conference organisers and is not provided to any other third-party provider by QUT Conferences in relation to the event. In some occasions contact details are provided by the owner of the event for the purpose of marketing the next event. This data is held in trust by QUT Conferences, and is then returned to the owner at the conclusion of the event. Credit card details are never forwarded to any other party under any circumstance.
QUT Conferences does not use any of its databases to market any other product or service.
Sponsor and Exhibitor Conditions
Sponsorship will be confirmed once registration and payment have been completed online. During the registration process you will be asked to provide:
- Your company logo in both .jpg & .eps versions (if available)
- A hyperlink to your company website
- A company bio (please see your entitlements for details regarding inclusion)
Payment for partnership is required before any entitlements can be delivered (special arrangements can be made). Notice of cancellation must be submitted in writing to email@example.com and can incur the following cancellations fees:
- 25% cancellation fee will apply for cancellations received prior to 21 May 2018
- 50% cancellation fee will apply for cancellations received prior to 20 July 2018
- 75% cancellation fee will apply for cancellations received prior to 21 September 2018
- Cancellations received on or after 22 September 2018 will not be refunded
You are responsible for the safety and security of any items brought onsite as part of your entitlements. It is your responsibility to arrange delivery of any items to and from the venue. Please note, it may not be possible to store items at the venue prior to or after the Conference.
